This Privacy Policy explains how Linkwell Telesystems Pvt. Ltd. (“we”, “us”, the “Company”) collects, uses, discloses and protects information in the Visiontek FMS mobile application (the “App”).

The App is a private, internal workforce application. It is provided only to employees, contractors and authorised field personnel of Linkwell Telesystems Pvt. Ltd. and its Visiontek Solar business, for managing field attendance, customer visits, travel and expense claims. It is not intended for, offered to, or usable by the general public. Access requires a Company-issued account; there is no public sign-up.

1. Information we collect

Precise location (GPS) Latitude, longitude, GPS accuracy and capture time for attendance, visits and location-required expense entries; reverse-geocoded addresses where available. The Android app also records precise route points between Start Attendance and Logout, associated with your user and attendance record. To confirm attendance and visits were recorded at the stated place, calculate travel distance, and detect erroneous or falsified entries.
Photographs Vehicle odometer photographs at day start and day end; photographs of expense bills and receipts. To verify claimed travel distance and to substantiate reimbursement claims.
Expense & travel data Expense amounts and categories, odometer readings, computed distances, claim status and approval history. To process, approve and audit reimbursement.
Visit & activity records Dealer/customer visited, visit time, purpose, notes and outcome; tour and day plans. To operate the field sales process and produce management reporting.
Device & security data A device identifier used to recognise your trusted device, push-notification token, app version, sign-in timestamps and outcomes, and the IP address of the request. To secure your account, operate device- and login-approval controls, deliver notifications, and investigate misuse.

The App does not collect contacts, calendar, SMS, call logs, microphone audio, health data, or advertising identifiers. We do not use the App for advertising, and we do not run third-party advertising or analytics SDKs in it.

3. Camera and photographs

Camera access is used solely to photograph odometer readings and expense bills that you choose to submit. Images are uploaded to the Company's servers and stored with the related attendance or expense record. The App does not access your existing photo gallery beyond files you explicitly select, and does not upload images in the background.

4. Notifications

If you allow notifications, we store a push token for your device so we can send work-related alerts — approval requests, reminders to complete your day, expense status updates and Company announcements. Notifications are never used for marketing. You can turn them off in your device settings.

The Android attendance-route foreground service also has an ongoing system notification. This is separate from optional work-alert notifications; it makes location recording visible and is not concealed by the App.

5. Automated and AI-assisted review

Please read this section carefully. The Company uses automated rules and artificial-intelligence assistance to review field activity for accuracy and possible irregularity. This includes reviewing GPS patterns on visits, comparing recorded travel against mapped road distance, and screening expense claims for unusual values.

These reviews produce indicative flags and summaries for your managers. They are decision-support only. No disciplinary or employment decision is taken automatically on the basis of an AI output alone — a human manager reviews the underlying records before acting. You may ask for the reasoning behind any flag that concerns you, and may contest it using the contact details in Section 12.

6. How we use information

We process this information to perform and administer the employment or engagement relationship, to pursue our legitimate business interests in operating and safeguarding the Company's field operations, and to comply with law.

We do not sell your personal information, and we do not share it for advertising or for any third party's own marketing.

8. Data retention

We keep field records — attendance, visits, travel, expense claims and their supporting photographs — for as long as needed to operate the business and to satisfy statutory retention obligations, including tax and accounting requirements, and for the period during which a related claim may be brought. Security records such as sign-in history and device approvals are retained for a shorter period sufficient for security investigation. When information is no longer required we delete it or render it non-identifying.

9. Security

Data is transmitted over encrypted HTTPS connections. Access is restricted by role, so users see only the records within their own territory or reporting line. Sensitive credentials held by the system are encrypted at rest. New devices and unusual sign-ins require approval before access is granted. No system can be guaranteed completely secure, but we maintain administrative, technical and physical safeguards appropriate to the sensitivity of the data.

Because the App is a workplace system, some records — such as approved expense claims and statutory attendance records — cannot be deleted on request where we are legally required to retain them.

Account and data deletion

Accounts are created and removed by the Company, not through in-app self-registration. To request deletion of your account and associated personal data, email solar@visiontek.co.in from your work email address, stating your name and employee ID. We will delete or anonymise your account and personal data except where retention is required by law or for the establishment or defence of legal claims, and will confirm once completed.

11. Children

The App is intended solely for adult employees and authorised personnel. It is not directed at children, and we do not knowingly collect personal data from anyone under 18 years of age.

13. Changes to this Policy

We may update this Policy from time to time. The “Last updated” date at the top will change, and material changes will be communicated through the App or by email. Continued use of the App after an update constitutes acknowledgement of the revised Policy.
